Park Road Anglican Church is exempt from the requirements of the Privacy Act as a “small business”. However, to respect your privacy, we will seek to deal carefully with any personal information we collect and retain in the manner set out in this policy.

Collection of Information

We collect and retain information needed for the ministry and related activities of Park Road Anglican Church.

We may ask for general information about you such as your name, address and other details so that we can contact you, provide services to you or for the purpose of your participation in church activities. The information collected may include some sensitive information such as health information, your religious beliefs and so forth. Where practicable, the reason for collecting personal information will be made clear at the time of collection.

You are not required to give us any personal information. However, if you do not provide us with certain information, we may not be able to provide you with access to some of our services or allow you to participate in some of our activities.

Photographs and Video

Please be aware that by attending a Park Road Anglican church service, you may be photographed, or video recorded. These may be used for display, marketing or promotional purposes both online and in printed media.

Anonymity

Wherever it is practicable, Park Road Anglican allows individuals to deal with us anonymously or through use of a pseudonym in relation to a matter.

Website Browsing and Email Correspondence

Accessing pages on the Park Road Anglican website will result in the following information being logged on the hosting server:

  • the time and date of access
  • your internet protocol (IP) address
  • the pages accessed and any items downloaded
  • the type and version of the web browser you were using for access
  • any search terms you used in local site-searches.

This information is held securely and cannot be used for identification purposes.

Accessing the Park Road Anglican website may result in the storage of cookies on your web browser or mobile device. Any cookies not expired at the end of the browser session are only retained for the end user’s convenience (e.g. login/screen name) and are not used for tracking purposes.

Park Road Anglican does not permanently store any information and does not attempt to track users between visits. Where Analytics is used to track aggregated web usage behaviour, associated user and event data retention periods are either disabled or set to the minimum possible.

We do not use web beacons to identify or track website visitors or email behaviour.

The Park Road Anglican website may contain links to external websites. We are not responsible for the content or privacy policies that govern these external websites.

Use and Disclosure of Information

We use information only for the purposes we have disclosed at the time of collection, or otherwise as set out in this Privacy Policy. We will not use or disclose your personal information for any other purpose without first seeking your consent, unless authorised or required by law.

We will not mention any sensitive information provided to us, such as health information, in newsletters or bulletins without your approval (or the person responsible for you). Generally, we will only use and disclose your personal information as follows:

  1. to maintain a record of your involvement and attendance,
  2. to facilitate your participation in the activities of the Church,
  3. to care for you pastorally,
  4. to answer your questions,
  5. to keep you informed of news about the Church and new developments we believe may be of interest to you, and
  6. to publish a directory of Church members to those participating.

Information Quality

We will endeavour to keep your personal information complete, accurate and up to date.

Information Security

We will take reasonable steps to keep the personal information which we hold secure and to protect it from unauthorised disclosure and misuse.

We may store your personal information electronically or in hard copy form. All electronic data is stored on our secure Church Management System, Elvanto. Details of their security practices can be found at https://www.elvanto.com/au/features/all/hosting-security/. All data is password protected and only accessible by authorised personnel. Hard copy paper records are stored in locked filing cabinets and/or secure rooms within Park Road Anglican Church; with only authorised personnel having access to those records. Personal information is kept for no longer than is necessary for the purposes of the collection. We ensure that all personal information that is held, which is no longer required is securely destroyed.

Data Breaches

An eligible data breach is when there is unauthorised access to or unauthorised disclosure of personal information, or a loss of personal information, when it is likely to result in serious harm to individuals, or Park Road Anglican hasn’t been able to prevent the likely risk of serious harm with remedial action.

If there a breach of our information systems and data collection, we may notify affected individuals and the Office of Australian Information Commissioner.

Access and Correction

We will generally provide you with access to your personal information and take reasonable steps to correct information, which is inaccurate, incomplete or out of date. To request access to the personal information we hold about you, contact the Privacy Officer (privacy@parkroadanglican.org.au).

If you wish to have your personal information deleted, please let us know and we will delete that information unless we need to retain it for our purposes or to comply with the law.
